📄SevenRooms Reservations Integration Overview
Real-time reservation and table management between SevenRooms and Bepoz
Overview
SevenRooms is a hospitality-focused reservations and guest experience platform that combines booking management, table operations, and guest data into a single system. The SevenRooms integration with bepoz enables real-time communication between reservations, table activity, and in-venue service workflows.
Through this integration, bepoz receives live reservation data from SevenRooms and sends table status updates back in real time, keeping front-of-house operations and reservation visibility aligned throughout service.

What the Integration Provides
The SevenRooms integration with bepoz supports core front-of-house workflows, including:
-
Receiving real-time reservation and booking data from SevenRooms
-
Sending live table status updates from bepoz back to SevenRooms
-
Viewing reservations in SmartPOS as:
-
-
A list
-
A booking grid
-
A graphical table map
-
-
-
Creating walk-in bookings from SmartPOS that are reflected in SevenRooms
-
Performing table transfers in SmartPOS that sync back to SevenRooms
This allows reservations, seating, and table progression to be managed from SmartPOS without needing to switch systems.
Supported SevenRooms Capabilities
While SevenRooms offers a broad platform covering guest experience, marketing, and operational tools, the bepoz integration focuses specifically on reservation and table management workflows, including:
-
Reservations and waitlist handling
-
Table management and seating status
-
Real-time operational updates between POS and reservations
Other SevenRooms features — including guest CRM data, customer sales history, marketing automation, loyalty, and reporting — remain managed directly within SevenRooms and are not displayed or controlled through bepoz.
Prerequisites
1. Software Requirements
Minimum bepoz version: v4.7.2.0 or later
2. BackOffice Configuration
To enable the SevenRooms integration, the following components must be configured in bepoz BackOffice. This configuration is typically completed by the bepoz Integrations Team as part of the pre go-live setup process:
A Transaction Queue
A Till Extension Device
One or more Till Function buttons assigned to the appropriate Workstation Till Function Maps
These Till Functions allow SmartPOS to retrieve, display, and interact with SevenRooms reservations.
SmartPOS Reservation Workflows and Functionality
Once reservations are retrieved from SevenRooms into SmartPOS, operators can view and manage bookings using:
-
Booking List
-
Booking Grid
-
Graphical Table Map
From any of the views listed above, operators can select a reservation to display booking details, including:
-
Customer information
-
Booking date and time
-
Guest count
-
Reservation notes
-
Deposit or pre-payment information (where applicable)
Confirmed reservations can be opened as transactions in SmartPOS, allowing service to continue directly from the POS.
In addition to reservations, operators can create walk-in bookings directly from SmartPOS. Walk-ins created in SmartPOS are automatically reflected in SevenRooms, ensuring table availability and guest activity remain synchronised between both systems.
Note: Table numbers must match exactly between SevenRooms and bepoz for the integration to function correctly.
Table Course Status Updates
Course statuses (such as 'Away' and 'Served') are sent from bepoz to SevenRooms when:
-
Table Courses are configured in Venue Table Settings
-
The appropriate Table Course Till Function keys are used
This ensures SevenRooms accurately reflects the live dining status of each table during service.
