📄Requisition Transfer Quantity Uses Full QOH When Min or Max Qty Is Zero

Overview

This article explains why a requisition may transfer the full Quantity on Hand from the source store instead of the expected requisition quantity.

In bepoz, requisitions rely on configured store minimum and maximum quantities for the products being requisitioned. If the source store has Min Qty or Max Qty set to zero for a product, the transfer calculation can fall back to the full Quantity on Hand for that source store.

This behaviour is by design and does not require a software update. The correct resolution is to configure the source store minimum and maximum quantities before processing requisitions into transfers.

Symptoms

When processing a requisition into a transfer:

  • The transfer quantity is higher than the requisition quantity.
  • The transfer quantity matches the full Quantity on Hand available in the source store.
  • The issue occurs for products where the source store Min Qty or Max Qty is set to zero.
  • The transfer may move all available stock from the source store to the destination store if the values are not configured.

Cause

The requisition feature assumes that source store minimum and maximum quantities have been configured for each product used in requisitions.

If Min Qty or Max Qty is zero, the requisition calculation can fall back to the source store’s full Quantity on Hand instead of using the requisition quantity.

‼️ Caution: There is currently no system warning or enforcement preventing users from leaving Min Qty or Max Qty set to zero. Venues using requisitions should treat source store min and max setup as a required configuration step.

Resolution

Configure the source store Min Qty and Max Qty for each product used in requisitions.

  1. Navigate to BackOffice.
  2. Click Products.
  3. Open the required Product.
  4. Select Store Settings.
  5. Select the source store used for the requisition.
  6. Confirm Min Qty is set to a value greater than zero.
  7. Confirm Max Qty is set to a value greater than zero.
  8. Save the product settings.
  9. Re-run the requisition.
  10. Confirm the transfer quantity now reflects the intended requisition quantity.

📌 Note: Setting both Min Qty and Max Qty to at least 1 prevents the calculation from falling back to the full source store Quantity on Hand.

Confirmation

After updating the source store settings:

  • The requisition can be processed into a transfer.
  • The transfer quantity should no longer default to the full Quantity on Hand.
  • The transfer should use the expected requisition quantity.
  • The source store should not transfer all available stock unless that quantity was intentionally requested.

Summary

Before using requisitions, ensure each product has valid Min Qty and Max Qty values configured for the source store.

Leaving Min Qty or Max Qty set to zero can cause the transfer quantity to fall back to the source store’s full Quantity on Hand, which may result in unintended stock movement.
